Position Summary

Position handles all aspects of purchasing. Maintains journals, reconciles, and reports Accounts Receivable, processes daily cash receipts, divisional audits, and departmental accounts.

Primary Duties & Responsibilities

  • Processes participant remuneration, reimbursements, payments of external supplie r invoices, internal/departmental invoices, obtain s approvals , maintains all financial records
  • Orders supplies and equipment, making price and specification comparisons and accepts bids.
  • Maintains receipts and refunds on FIS and IDX and resolving outstanding items.
  • Prepares journals to allocate income, verifying accuracy of refunds, discounts, corrections and charges to the correct divisional account.
  • Handles maintenance contracts and renewals reviewing and updating as needed in coordination with appropriate personnel and processes payment of services and goods received in areas of responsibility by appropriate documentation or process.
  • Performs various audits within the division and maintains receipts of daily deposits.
  • Maintains files, varied accounting reports and purchasing documentation.
  • Performs receiving functions for supplies or equipment not on purchase orders and monitors incorrect orders and damaged goods from vendors, returning for merchandise credit or replacement merchandise.
  • Assists with/handles special projects, annual budget and operating statements.
  • Monitors reports for the department and the university.

Preferred Qualifications

  • Bachelor's degree.
  • Experience in a decentralized and/or complex environment.
  • Ability to manage multiple projects and meet deadlines with varying degrees of pressure.
  • Ability to handle confidential information.
  • Strong analytical, problem solving and decision-making capabilities; ability to properly assess pertinent data and develop a framework for effective and practical solutions to complex issues.
  • Knowledge of internal controls; ability to streamline/automate transaction processing and recording.
  • Working knowledge of general office equipment and computers with accounting, including experience in Workday, Excel, Word, and Outlook.
  • Effective verbal, written and interpersonal communication skills.
  • Effective organizational skills with ability to prioritize work and work independently.

Required Qualifications

Equivalent of High School Diploma, with some college accounting course work, and five (5) years of experience in accounting/purchasing, or the equivalent of five (5) years of related college level education and experience in accounting, finance, purchasing and/or bookkeeping.

Salary Range

$17.87 - $27.06 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
