Executive Assistant to C-Level Executive

Position Overview:
We're seeking a highly organized and proactive Executive Assistant to support one of our C-level Executives. This role is crucial in maintaining smooth operations and fostering a positive company culture through seamless communication and execution.
The Ideal Candidate:
- Is a problem solver with excellent business acumen and proven organizational skills
- Can juggle multiple critical requests autonomously and effectively
- Is proactive, takes initiative, and exercises good judgment, discretion, and confidentiality
- Has proven experience managing demanding and complex calendars
- Collaborates effectively with other Executive Assistants to provide seamless executive support
- Thrives in a fast-paced, demanding environment and remains calm under pressure
Key Responsibilities:
1. Calendar Management: Plan, organize, and manage complex schedules, resolving conflicts and prioritizing commitments.
2. Travel Coordination: Arrange weekly travel for the Executive.
3. Stakeholder Relations: Interface with key external stakeholders and vendors.
4. Event Management: Coordinate logistics for team lunches, all-hands meetings, and offsite events.
5. Financial Tasks: Manage and reconcile expense reports, purchase requisitions, and contracts within deadlines.
6. Special Projects: Assist with initiatives assigned by the Executive, including research, data analysis, and cross-departmental coordination.
7. Document Preparation: Draft, proofread, and edit documents, presentations, and reports as needed.
8. Internal Communications: Build and maintain positive relationships with internal stakeholders, facilitating communication and collaboration across departments.
Qualifications:
- 10+ years of experience providing administrative support to one or more executives
- Excellent computer skills, particularly with Google Docs, Google Calendar, and Concur
- Exceptional organizational and detail-oriented skills
- Ability to prioritize tasks and adapt quickly to changes
- Strategic thinking skills to optimize the Executive's time and schedule
- Experience organizing large team offsite events
- Background in a technology company preferred
